Position Summary:

Benco Dental's Coaching & Education team empowers practices to grow confidently and sustainably. Through expert guidance in revenue optimization, practice management, and clinical excellence, we help customers identify performance opportunities and implement proven systems that drive measurable results. Our offerings combine data-driven analysis with hands-on coaching and dynamic educational experiences — enabling dental teams to transform how they lead, communicate, and deliver care.

The Coaching & Education Coordinator plays a critical role in driving service performance and operational excellence across Coaching & Education offerings. This position is responsible for lead pipeline monitoring and analysis, helping to ensure the quality, accuracy, and movement of leads through the pipeline – including monitoring performance KPIs, prompting timely follow-up, and ensuring visibility to maximize close rates. In addition, this role is a critical part of customer onboarding and progression monitoring, serving as the central operational coordinator throughout customer journeys. The Coaching & Education Coordinator assists with workload capacity analysis and problem-solving by monitoring resource utilization and program volume to identify risks, balance workload, and elevate operational constraints proactively.

Do These Responsibilities Interest YOU?

  • Gather and maintain lead counts, ensuring quality, accuracy, and completeness of customer records.
  • Track lead qualification status and monitor performance KPIs to identify actionable insights and trends.
  • Coordinate timely follow-up on active opportunities, prompting sales and coaching teams to engage at the right intervals.
  • Cover lead follow-up as needed—responding quickly to inquiries and scheduling discovery calls with the appropriate parties.
  • Generate recurring reports on lead flow, follow-up activity, and conversion rates to support business development and forecasting.
  • Manage and triage departmental email inboxes, routing inquiries and ensuring timely resolution.
  • Serve as the primary post-sale operational coordinator, guiding customers through the defined service delivery journey.
  • Collect and organize customer pre-work, documentation, and onboarding forms required before service delivery. Coordinate team introductions and handoffs of assignments.
  • Monitor service deliverables and volume to ensure they are completed on schedule and align with contract obligations.
  • Continuously refine onboarding workflows and operational touchpoints to enhance efficiency and customer satisfaction.
  • Maintain accurate financial and billing records, monitor payment installments, and assist with reconciliation when discrepancies arise.
  • Track cross-sell and upsell opportunities that emerge during service delivery and prompt appropriate follow-up.
  • Communicate regularly with internal stakeholders to provide status updates, resolve bottlenecks, and ensure a seamless customer experience.
  • Collaborate with team leadership to ensure service delivery commitments remain achievable without compromising customer experience. Provide support in resource allocation and scheduling decisions to balance workload across the team.
  • Organize and maintain team assets (curriculum, deliverables, tools, marketing materials) to ensure ease of access and version control.
  • Maintain team Standard Operating Procedures (SOPs) in Confluence; contribute to process documentation and updates.
  • Assist with onboarding and training new team members on administrative and coordination processes.
  • Maintain the Speaker Bureau database—ensuring contact details, rates, and speaker materials remain current.
  • Assist with vendor and partner relationships, ensuring coordination of required activities and engagements.
  • Support the scheduling and coordination of speaking events and CE seminars.
  • Partner with Marketing and leadership to coordinate updates to promotional materials, web pages, and sales resources.

Do YOU Meet These Requirements?

  • Experience with CRM tools and billing/invoicing packages
  • 4-6 years of experience in a professional setting
  • Bachelor's Degree in Business Administration or Marketing, preferred
